Training: Sales Quote Lifecycle
This training module covers the lifecycle of a Sales Quote from its initial creation through customer approval and release.
The Quoting Lifecycle
In the standard workflow, a Sales Quote moves through these system statuses:
- DRAFT: The quote is being built. You can add items, adjust pricing, and configure products using Smart Quote. Add at least one line item before moving it to Offered or Released.
- OFFERED: The quote has been sent to the customer for review.
- ACCEPTED: The customer has approved the quote.
- RELEASED: The quote has been released and Velosity creates the linked Sales Order.
OFFERED and RELEASED are separate statuses. Offering a quote does not create a Sales Order. Releasing creates the linked Sales Order when absent, or synchronizes new quote lines and items to the existing order. A quote can also be cancelled from Draft, Offered, Accepted, or Released; an Offered quote can be rejected or expire, and a Released quote can expire.
When an instance uses Incremental Release, a Draft quote with at least one line item can move directly to Released, and a Released quote can return to Draft. That mode supports incremental work and does not require the Offered/Accepted path. See Sales Quote Status Workflow for all allowed transitions and Convert a Sales Quote to a Sales Order for both release modes.
[!NOTE] A quote phase is an optional tenant-defined label, not a replacement for its system status. Selecting a phase may request its associated status transition; changing a status does not automatically change the phase. Integrations and portal behavior should use the quote status. See Workflow Phases.
Interactive Tutorial: Managing Quote Status
The following walkthrough demonstrates how to transition a quote through these stages to prepare it for conversion.
Key Takeaways
- Version Control: If a customer requests a change, return the quote to DRAFT when permitted or create a Reconfiguration.
- Audit Trail: Every status change and price adjustment is captured in the History tab.
- Visual PDFs: Remember that you can generate a professional PDF View at any stage to share with the customer.
